Meeting of the Management Committee
Held on Wednesday 18th February 2015 at Bembridge Youth and Community Centre from 7pm

- Matters arising from the minutes of the last meeting
The lounge refurbishment has been completed and most of the old lounge furniture has been sold for £310, the committee congratulated Sarah Portwine on the new refurbishment.
Sarah Portwine has contacted Cater Wight about fixing the oven and is awaiting a call back confirming an appointment.
The Chairman asked to discuss the artwork in the hall as part of any other business.
Sarah Portwine still needs to confirm possibility of skateboarding lessons in Steyne Park for village children with John Cattle of Wight Trash.
- Petanque Terrain – update
Shaun Burden and Alan Morris met with Ben Bishop (captain of Bembridge Reckers petanque team) to discuss the new petanque terrain, Dave Betteridge was not in attendance. Toby Allen and Andrew Nordbruch represent the petanque team Bembridge Reckers who will be responsible for maintaining the new petanque terrain as the home team. The petanque season is due to start in approximately 5 weeks therefore the new petanque terrain needs to be completed soon or the team may have to use the current terrain. It was reiterated that a budget of £1500 for this project was unanimously agreed by the committee at the December 2014 meeting.
The first point for consideration was the disposal of the soil which Alan Morris estimates will be 12 cubic metres, either a skip will be required or collection arranged. The size of the petanque terrain was discussed with a proposed size of 15.5m x 4.5m including boundaries.
RESOLVED: The committee agreed that the new petanque terrain will be 15.5m x 4.5m including boundaries.
Petanque team representative Toby Allen explained to the committee that their preferred boundary material is railway sleepers as they are hard wearing and their weight creates an unmoving boundary. Shaun Burden expressed concerns about the cost of railway sleepers and proposed using a wood surround as a cheaper alternative, using pegs to hold the wood in place. A discussion was had about asking for materials to be donated by Bembridge Building Supplies or HJ Bennett Ltd.
Petanque team representative Andrew Nordbruch showed the committee drawings of the position of the petanque terrain in relation to the BYCC. Due to lighting issues the petanque team would prefer that there is a gap of approximately 1m between the petanque terrain and the BYCC. Any additional lighting on the exterior of the BYCC may require planning permission.
RESOLVED: The committee agreed that a gap of approximately 1m is acceptable between the petanque terrain and the BYCC.
Further discussion was had about the time constraints of the project and if volunteers are unable to complete the new terrain before the start of the season whether the committee should consider paying a contractor to complete the project. Shaun Burden expressed concerns that paying a contractor may exceed the agreed budget of £1500.
RESOLVED: On Sunday 22nd February Shaun Burden, Alan Morris and members of Bembridge Reckers will meet with Barry Clarke in Steyne Park to discuss the installation of the new petanque terrain and Alan Morris will update the committee so a decision can be reached as to how to proceed.
The committee thanked Toby Allen and Andrew Nordbruch who then left the meeting.
- Summer Festival – update
Sarah Portwine has contacted Jeff Anderson from HSS Hire about providing traffic management and equipment for the summer festival, as last year, and is awaiting a reply. Andy Squibb from Spyder UK Ltd is able to provide the stage and sound system at the same cost as last year.
RESOLVED: Sarah Portwine will book the stage and sound system from Spyder UK Ltd for the summer festival.
Sarah Portwine has booked bouncy castles, a shooting alley, doughnut van, swing boats, a coconut shy, archery game and strikers with vendors who will donate 20% of their profits on the day to the BYCC. Sarah Portwine proposed increasing the number of categories in the dog section of the pet show, as it was very popular last year, but not having a small animal’s section as there were no entries last year.
RESOLVED: The dog section of the pet show will have additional categories and there will be no small animal’s section.
Sarah Portwine is also hoping that the organisers of the dog training classes at the BYCC will be able to attend with their agility team and provide a display free of charge; therefore a larger arena will be required. Psychedelic funk band The Nightwatchmen and singer/songwriter Jazzy Heath will both be performing at no charge. Steve Warburton proposed an additional area for musicians, perhaps for an open mic set, but it was felt that the summer festival is not large enough to accommodate two music areas and this may take away from the music being performed on stage. Sarah Portwine would also like to organise a silent auction again as this raised £493 last year.
RESOLVED: The committee approved the current plans for the summer festival and Sarah Portwine is to continue with the planning of this event.
Sarah Portwine proposed booking entertainers Amaze Bubbles for the summer festival at a cost of £150 for the day.

Sarah Portwine proposed purchasing wristbands to sell at the summer festival, as last year, the cost will be the same as last year (£138).
RESOLVED: Sarah Portwine will purchase wristbands to sell at the summer festival which will be a different colour from last year.
Out of the four advertising banners used for the summer festival last year there are two left so Sarah Portwine proposed purchasing replacement’s. Steve Warburton will pay for one of the replacement banners.

Alan Morris suggested organising zorbing at the summer festival, there are companies on the island that provide this.
RESOLVED: Sarah Portwine will look in to including zorbing at the summer festival.
The summer festival in 2014 was opened by MP Andrew Turner and High Sheriff Claire Locke so Sarah Portwine asked for suggestions to open the summer festival this year. Bill Bristow and Sally Pigot suggested the Lord Lieutenant.
RESOLVED: Sally Pigot will ask the Lord Lieutenant if he will open this year’s summer festival.
- Any other business
Shaun Burden proposed setting a date for the BYCC AGM.
RESOLVED: The BYCC AGM will be held on Wednesday 20th May at 7pm in the lounge at the BYCC.
Shaun Burden informed the committee that Bembridge Cricket Club is currently experiencing difficulties and he would like the BYCC to offer assistance. Bill Bristow expressed concerns about the current relationship between Bembridge Parish Council and Bembridge Cricket Club as there is an ongoing dispute concerning pitch fees. Bembridge Parish Council has invoiced Bembridge Cricket Club for pitch fees totalling £400 (for the year) which includes use of the changing rooms in Steyne Park. Alan Morris proposed that the BYCC pay £160 towards these pitch fees if Bembridge Cricket Club pay £240.
RESOLVED: The BYCC will pay £160 towards the pitch fees of Bembridge Cricket Club if they pay the remaining £240.
Alan Morris asked Tina Bishop (treasurer) about the payments for the PRS licence and Steve Warburton suggested that there may be an alternative tariff offered by PRS to reduce the cost of the licence.
Sally Pigot asked if there would be a raffle at the summer festival but it was felt that this would not be feasible.
Sarah Portwine has booked holiday in March and organised volunteers to cover the bar shifts apart from the Saturday afternoons when the bar may need to be open for the football. Alan Morris agreed to cover these shifts if he is available.
Sarah Portwine showed the committee the proposed design for the new BYCC sign to replace the old sign at the entrance to the Steyne Road car park, the cost will be £50.
RESOLVED: Sarah Portwine will order the new car park sign.
Sarah Portwine proposed the BYCC have a stall at Bembridge Street Fair on Bank Holiday Monday 25th May to promote the centre and raise money, the cost will be £15.
RESOLVED: Sarah Portwine will organise a stall and volunteers for Bembridge Street Fair.
The mural in the hall, of sports teams in Steyne Park, has been completed and the committee discussed whether to proceed with a second mural adjacent to the first to balance the artwork in the hall.
RESOLVED: A second mural will be painted in the hall, adjacent to the first, with the summer festival design instead of the original decision to have three murals in different areas of the hall.
In his absence, Keith Cook would like it noted in the minutes that Bembridge Football Club appreciates the ongoing support from Sarah Portwine and the BYCC, particularly during the Hampshire Cup semi-final on Saturday 7th February.
