Meeting of the Management Committee
Held on Wednesday 20th May 2015 at Bembridge Youth and Community Centre from 7pm
Present: Theresa Martin (Chairperson), Keith Cook (Vice Chairperson), Carl Johnston (Treasurer), Diane Portwine (Secretary), Ken Marston, Sally Pigot, Bill Bristow, Tina Bishop, Mike Stilgoe and Sarah Portwine
- Approval of the minutes from the last meeting
Minutes approved and signed by Chairperson Theresa Martin.
- Matters arising from the minutes of the last meeting
Sarah Portwine reported that the oven had been fixed, Cater Wight repaired the door and 1st For
Electrical replaced the power switch, total repair costs did not exceed £150.
Sarah Portwine is waiting for John Cattle to confirm the dates in the summer holidays that he will hold the skateboarding lessons in Steyne Park. She expressed concern that as there will be numerous activities in the summer holidays the attendance for these lessons may be low so the BYCC may have to cover most of the cost.
The committee discussed the issue of budgets that had been raised at the previous meeting and agreed that Steve Warburton providing projections for the CIC in his AGM report and monthly accounts from the BYCC treasurer would be sufficient.
Plans for Bembridge Summer Festival will be finalised at the next management committee meeting. The petanque terrain has been completed; the committee and petanque team are very pleased with the new terrain.
Theresa Martin proposed that the management committee have a separate meeting before the next full committee meeting to discuss a 5 year plan for the BYCC.
RESOLVED: A meeting will be held on Wednesday 1 t11June at 7pm in the lounge to discuss a 5
year plan for the BYCC.
Sarah Portwine reported that she still has not been provided with a contract of employment which should have been renewed on 1st April 2015.
RESOLVED: Carl Johnston will ask Steve Warburton to provide a copy of Sarah Portwine’s contract of employment to the committee as soon as possible.

Tina Bishop expressed concerns about the lack of available staff and volunteers who can work behind the bar at BYCC events. Sarah Portwine agreed that the list of approved staff and volunteers for the bar needs to be added to. Bill Bristow suggested discussing staffing at the meeting about the
5 year plan.
Tina Bishop explained that she had not put together a set of accounts for April2015 as they would be incomplete due to the accountant having all the banking paperwork so she will be putting together a complete set of figures for May.
Sarah Portwine reported that E-on had sent a letter about the direct debit for the new electricity
contract and had originally quoted £865 per month. She has spoken to them and reduced this amount to £350 per month but this still seems high. The committee discussed the best way to pay for electricity charges.
RESOLVED: Carl Johnston will cancel the E-on direct debit and pay the electricity bills when they
are received.
Sarah Portwine requested that the BYCC pay £200 towards the cost of trophies and medals for The
Steyne Park Youth Tournament which the BYCC is jointly organising with Bembridge Youth

RESOLVED: The BYCC will pay £200 towards the cost ofThe Steyne Park Youth Tournament.
