Meeting of the BYCC Management Committee
Held on Monday 3rd August at Bembridge Youth and Community Centre from 7:00pm

- Approval of the minutes from the last meeting
Minutes approved.
- Treasurer’s Report
- End of year accounts 2019/2020 update.
Klark will complete the above next month and will then be approved and signed.
- CIC Closure.
The above accounts will be completed next month and will be approved and signed by
a director and returned to companies house. Also the CIC will be closed down which
Klark will oversee and inform company’s house.
- Forward Plan – Covid19
The following have been installed ready for classes to start again in September 2020.
Paper towel dispensers in all hall toilets. Hand gel dispensers by all entrances. Locks
on hall gents/ladies toilet, furniture cupboard and bar doors. The kitchen will remain locked.
Antibacterial soap will be provided in toilets, kitchen and bar areas. Masks, Aprons and gloves
are provided for the use of cleaning the centre. A discussion was had to increase the hire fees
(on a temporary basis) for the addition cleaning. It was agreed that £10 would be the ideal amount.
Diane Portwine would speak to the classes concerning this and discretion should be used to avoid
losing any classes.
The bar will remain closed as social distancing can be difficult. Any football matches a bar will
be available from the kitchen with a limited stock.
Due to the present situation it was agreed not to take any bookings i.e. children’s parties, functions
etc. This will be reviewed with the intention of going ahead with the Soup run, Christmas quiz and Father Christmas which all take place in December 2020.
- Secretary Position
Diane Portwine has resigned as secretary for the Bembridge Youth & Community Centre
management committee and as a Trustee.
Gail Porter was asked to the meeting as she would like to take on the role of Secretary.
Nominated by; Bill Bristow Seconded by: Keith Cook. Agreed unanimously.
Diane Portwine will speak to Gail Porter after the meeting to complete paperwork and explain
her role as secretary.
- Any other business
The table tennis table has not been disposed of. Bryony Davies took on the task of disposing of
the table.
Diane Portwine informed the committee the glasswasher in the bar needed replacing. An electrician
advised the replacement, unsafe to use. Committee approved. Diane Portwine will arrange the
purchase of a new glasswasher.
Bryan Jones arranged a “social run” on Sunday 3rd August 2020. Which would have been the
day of the Trial Run. Runners were asked to make a donation to Bembridge Youth & Community
Centre and £128.25p was raised.
Bembridge Youth/Adult football clubs are asking for permission to erect a storage area at the end of
the Bembridge Youth & Community Centre building, from the Bembridge Parish Council. The club would like to know if we have any objections. They will ensure that the fire exit from the building will not be affected. Agreed unanimously. Diane Portwine will inform the Clubs
.
Nigel Maclean informed the committee that the Bembridge Sailing Club annual grant, which Bembridge Youth & Community Centre were nominated. This will now take place next year.
Gail Porter suggested making our Father Christmas event a lot bigger. Involving floats, ponies, dogs etc for a carnival parade through the village. Getting the Bembridge school involved with
Carol singers. Gail has looked at insurance for the event and total approximate cost £329.00. Also
Road closures would have to been discussed with Island Roads. The committee agreed this may not be possible this Christmas but Gail Porter is keen to arrange it next Christmas.
