Meeting of the Management Committee

Held on Wednesday 21st January 2015 at Bembridge Youth and Community Centre from 7pm

Present: Shaun Burden (Chairman), Alan Morris (Vice Chairman), Tina Bishop (Treasurer), Keith Cook, Ken Marston, Sally Pigot, Bill Bristow, Bryan Jones, Mike Stilgoe and Sarah Portwine

  1. Approval of the minutes from the last meeting

Minutes approved and signed by Chairman Shaun Burden.

 

  1. Matters arising from the minutes of the last meeting

The Christmas event was a great success, carol singing at the residential homes was very popular but not so much in the village and the brass band are happy to attend this event again.  The 3D Christmas tree decorating competition did not receive many entries, Keith Cook mentioned that his grandchildren did not receive trees from the school so Alan Morris will double check with the school that the trees were given out to all the children.

 

The LED panels have been installed in the hall, there is a slight problem with one of the switches tripping the power but this is being resolved.  Sarah Portwine proposed changing the 8 light switches in the hall to key switches, this may help to conserve power when private hirers are using the hall and stop younger children playing with the light switches.  The cost will be approximately £100 including installation and 16 keys.

RESOLVED: Sarah Portwine will arrange for the light switches in the hall to be changed to key switches.

 

  1. Treasurer’s Report

The BYCC financial year is being extended (as previously agreed by the committee) and this will also coincide with the CIC financial year.  For the 12 months of 2014 the BYCC showed a loss of £1257.15 and the CIC traded for 9 months in 2014 and showed a profit of £4684.38, therefore the combined figures show an overall profit for 2014 of £3427.23.

 

 

 

 

 

 

  1. Refurbishment and petanque terrain – update

The new lounge furniture is being delivered on 5th February; Sarah Portwine proposed increasing the number of chairs being purchased from 16 to 18 as Pub Stuff is offering 2 free chairs when ordering 18, bringing the total number of chairs for the lounge to 20.

RESOLVED: Sarah Portwine will increase the chair purchase from Pub Stuff to 18.

Sarah Portwine proposed selling the current lounge furniture at auction; she has spoken to Warren at Shanklin Auction Rooms who is happy to sell this furniture and can collect it at a cost of £25.  Shaun Burden suggested also speaking to Hose Rhodes Dickson who hold auctions in Brading as they may collect the furniture for free.

RESOLVED: Tina Bishop will speak to Hose Rhodes Dickson in Brading and let Sarah know the outcome.

RESOLVED: Sarah Portwine will arrange for the current lounge furniture to be sold.

 

The oven still needs fixing as the door is broken and the hobs are not working correctly.

RESOLVED: Shaun Burden will source someone to fix the oven.

 

Sarah Portwine is putting together collections of photographs for the lounge refurbishment but still requires pictures of the petanque team and Bembridge Shotokan Karate Club.

RESOLVED: Tina Bishop will ask Ben Bishop to get a photograph of the BYCC petanque team and Mike Stilgoe will take a photograph of Bembridge Shotokan Karate Club.

 

There was a lengthy discussion about the artwork planned for the hall walls and how to proceed.  Some committee members were concerned about the colours being used and the style of the designs.  Sarah Portwine proposed that the artist paint the smallest of the three walls in the sports design using pastel colours and the committee can approve the design before she continues with the other designs in the hall.

RESOLVED: Sarah Portwine will instruct the artist to complete one design in the hall for the committee to approve before continuing with the hall artwork.

 

Shaun Burden and Alan Morris are continuing to plan the new petanque terrain with Dave Betteridge.  They will meet with Bembridge Reckers captain Ben Bishop to confirm the size and materials to be used but installation will have to wait until the weather improves.

 

  1. Event plan 2015

Sarah Portwine proposed the following events as well as listing the current bookings for 2015:

February – Showing all England games in RBS Six Nations (continues into March)

Saturday 21st – Cat Skellington booked to play in the lounge bar

 

March – Saturday 14th – Dragon’s Den (organised by the Village Partnership)

Saturday 21st – Private Party

 

April – Darts Competition (date to be confirmed)

Easter Party (date to be confirmed)

 

May – Saturday 2nd and Sunday 3rd – Randonee cycling event

Saturday 23rd – Wedding reception

 

June – BYFC Football Tournament (date to be confirmed)

 

July – Saturday 11th – Bembridge Summer Festival

Saturday 25th – Private Party

 

August – Sunday 23rd – Festival of Sport

 

September – Saturday 26th – Private Party

 

October – Friday 2nd – Village of the Year Awards

Saturday 31st – Halloween Horror

 

November – Fireworks Night (organised by the Village Partnership, date to be confirmed)

 

December – Saturday 19th – Bembridge Christmas Fair

In addition to the list Bembridge Football Club will be having their end of season awards evening again and Bembridge Youth Football Club will also be holding an end of season awards evening this year, both will confirm the dates soon.  The committee discussed organising an Easter egg hunt and possibly looking at some adult only events like a pop up cinema night or food themed evening.

RESOLVED: Sarah Portwine will proceed with event plans for 2015.

 

  1. 5 year plan

Prior to the meeting an email was forwarded to the committee with an attachment from Alan Morris outlining points to consider for a 5 year plan for the BYCC.  The main points to consider were the direction the committee would like the BYCC to go in and whether structural changes need to be made in order to achieve this.  The committee briefly discussed ideas but will discuss their ideas in greater detail at their meeting in March.

 

  1. Any other business

Shaun Burden has spoken to John Cattle from Wight Trash about running some skateboarding classes for children in Steyne Park and proposed the BYCC organise these classes at cost of £13 per hour.

RESOLVED: Sarah Portwine will contact John Cattle to discuss ideas for a skateboarding class.

Shaun Burden also asked the committee if anyone wanted to join the Steyne Park Project working group as a representative from the BYCC.  As there are already 4 committee members on this working group it was felt that any further representative was not essential.

 

Mike Stilgoe has spoken to Jan Andrews about the possibility of dog training classes moving from a Wednesday evening to a Tuesday evening so he can extend the second karate session on a Wednesday, she will consider this and let him or Sarah know if this is possible.

 

Sally Pigot asked if car boot sales would be held this year but it was felt that they were unfeasible.

 

Bill Bristow made the committee aware of planned work in Steyne Park that may affect the centre as the Steyne Park Project group are planning to clear a ditch directly behind the BYCC.  The BYCC will be told in advance when this work will take place.

 

 

Sarah Portwine has been contacted by the IOW Studio School who have asked if they could purchase one of the table tennis tables.  Sarah Portwine proposed selling 2 out of the 3 tables as the table tennis club has not been running for nearly a year and there is currently no time slot available in the evenings.  Alan Morris felt that the BYCC should try to find someone to restart the table tennis club so this will be looked into.

 

Sarah Portwine has booked 3 days holiday (30th January, 31st January and 1st February) which has been approved by her line manager Steve Warburton.  She has arranged cover for all 3 evening bar shifts between Diane Portwine, Tom Law and Maria Vescei but a committee member is required to cover the bar in the afternoon of Saturday 31st January if BFC play at home.

RESOLVED: Alan Morris will open the bar in the afternoon of Saturday 31st January if BFC play at home.

Sarah Portwine will leave the diary and phone with BYCC secretary Carl Johnston and give a set of keys to Shaun Burden so he can open and close the bar.
